Organization Settings

Organization settings let you customize how your organization appears in Verk and control organization-level configurations. If you're an Owner or Admin, you can access and modify these settings.

Understanding organizations in Verk

Every team in Verk works within an organization. An organization is your workspace - it contains all your tasks, projects, team members, and files in one place.

You might be part of multiple organizations:

  • Your company's main workspace
  • A client project workspace
  • A side project with friends
  • Your personal organization (everyone gets one automatically)

Each organization has its own separate data. Tasks, members, and files in one organization don't appear in another.

Accessing organization settings

To view and edit your organization settings:

  1. Make sure you're in the organization you want to manage (check the organization name in the top left)
  2. Click on the organization name to open the organization menu
  3. Select Organization Settings
  4. Or, click the gear icon next to your organization name

You'll only see the Organization Settings option if you're an Owner or Admin. Members and Guests can view some organization information but can't change settings.

Organization name

Your organization name appears throughout Verk - in the navigation bar, in invitations, in notifications, and in your organization URL.

Changing your organization name

  1. Go to Organization Settings
  2. Find the Organization Name field
  3. Type your new organization name
  4. Click Save Changes

The new name appears immediately for everyone in your organization.

Choosing a good organization name

For companies: Use your company's official name. This is usually obvious:

  • "Acme Corporation"
  • "Smith & Associates"
  • "TechStart Inc."

For teams within a company: Include both the company name and team name:

  • "Acme - Marketing Team"
  • "Acme - Engineering"
  • "Acme - Product Design"

For client projects: Include both your company and the client:

  • "Smith & Associates - Acme Project"
  • "Acme Implementation Team"

For personal projects: Use something descriptive:

  • "Sarah's Side Projects"
  • "Weekend Warriors"
  • "Freelance Work"

Tips:

  • Keep it under 50 characters
  • Make it clear and professional
  • Avoid abbreviations that outsiders won't understand
  • Don't include dates (like "Q4 2024 Project") unless it's truly temporary

Your organization logo appears next to your organization name throughout Verk. It helps people quickly identify which organization they're working in, especially if they're members of multiple organizations.

  1. Go to Organization Settings
  2. Find the Organization Logo section
  3. Click Upload Logo or click on the current logo
  4. Choose an image from your computer
  5. Crop the image if needed (drag to reposition, use the slider to zoom)
  6. Click Save

Your new logo appears immediately for everyone in the organization.

Logo requirements and tips

Technical requirements:

  • Minimum size: 200x200 pixels
  • Recommended size: 512x512 pixels or larger
  • File formats: PNG, JPG, SVG
  • Maximum file size: 5 MB
  • Square or circular logos work best

Design tips:

  • Use your company's official logo if you have one
  • Simple logos work better than complex ones at small sizes
  • Make sure the logo is visible on both light and dark backgrounds
  • Avoid logos with lots of text (they become unreadable when small)
  • Use a transparent background (PNG or SVG) if possible

What makes a good logo:

  • Clear and recognizable even when small
  • Professional and appropriate for your organization
  • Consistent with your brand (if you have one)
  • Simple enough to work at different sizes

If you want to remove your logo:

  1. Go to Organization Settings
  2. Find the Organization Logo section
  3. Click Remove Logo
  4. Click Confirm

Your organization will show its initials in a colored circle instead of a logo.

Personal organizations

Everyone who signs up for Verk gets a personal organization automatically. This is your private workspace where you can manage personal tasks and projects.

You cannot delete your personal organization. It's permanent and tied to your account.

You cannot change certain settings on personal organizations:

  • You can't delete it
  • You can't transfer ownership (you're always the owner)
  • You can invite people, but it's designed for personal use

If you want to create a team workspace, create a new organization instead of using your personal one.

Deleting an organization

Deleting an organization is permanent and removes all data associated with it. Only Owners can delete an organization, and you cannot delete your personal organization.

What gets deleted

When you delete an organization, everything is removed:

  • All tasks and projects
  • All files and attachments
  • All comments and conversations
  • All integrations and automations
  • All member access
  • All organization settings

This cannot be undone. Once an organization is deleted, the data is gone forever.

Before you delete

Before deleting an organization, consider:

Do you need to export anything? There's no automatic export feature, so manually save anything you need:

  • Download important files
  • Copy critical information to another tool
  • Take screenshots of important data

Are there other owners or admins? Let them know you're planning to delete the organization. They might want to export data too.

Are there active members? Give your team advance notice. Deleting the organization removes everyone's access immediately.

Is this really necessary? Sometimes it's better to:

  • Archive old projects instead of deleting the organization
  • Remove members who no longer need access
  • Rename the organization for a new purpose

How to delete an organization

Step 1: Make sure you're not deleting the wrong organization

  1. Check the organization name in the top left
  2. Switch to the organization you want to delete if needed
  3. Double-check this is the right one

Step 2: Go to organization settings

  1. Click your organization name in the top left
  2. Select Organization Settings
  3. Scroll down to the Danger Zone section

Step 3: Delete the organization

  1. Click Delete Organization
  2. Read the warning carefully
  3. Type the organization name to confirm (this prevents accidental deletion)
  4. Click Delete Permanently

The organization is deleted immediately. You'll be redirected to your personal organization.

What happens to members:

  • All members lose access immediately
  • They'll see an error if they try to access the organization
  • They won't receive a notification (so tell them in advance)
  • Any bookmarks or saved links to the organization will stop working

What happens to you:

  • You can't undo this action
  • You can create a new organization with the same name later if you want
  • You'll still have access to your other organizations

Cannot delete personal organizations

If you see a message saying "Cannot delete personal organization," it's because you're trying to delete your personal workspace. This is not allowed.

Personal organizations are permanent and tied to your account. If you want to stop using Verk entirely, contact support at support@verkapp.com to close your account.

Organization URL

Every organization has a unique URL that looks like this: https://verkapp.com/en/org_abc123/dashboard

The org_abc123 part is your organization ID. It's automatically generated when the organization is created and never changes.

You cannot customize your organization URL. The organization ID stays the same even if you change your organization name.

Why we use organization IDs:

  • They're unique and never conflict with other organizations
  • Changing your organization name doesn't break links
  • Team members can share links that always work

Organization switching

If you're a member of multiple organizations, you can switch between them:

  1. Click your organization name in the top left
  2. You'll see a list of all your organizations
  3. Click the organization you want to switch to

Verk remembers which organization you were in last. When you log in, you'll return to that organization.

Each organization has completely separate data. When you switch organizations:

  • You see different tasks and projects
  • You see different team members
  • You have different permissions (you might be an Owner in one org and a Member in another)
  • You see different files and integrations

Who can change organization settings

Your role determines what you can do:

Owner:

  • Change organization name
  • Change organization logo
  • Delete the organization (except personal orgs)
  • Manage all organization settings
  • Manage members and their roles
  • Everything an Admin can do

Admin:

  • Change organization name
  • Change organization logo
  • Manage members and their roles
  • Configure integrations
  • Cannot delete the organization

Member:

  • View organization information
  • Cannot change any settings
  • Can view the member list

Guest:

  • Limited view of organization information
  • Cannot change any settings
  • Limited view of members

If you need to change organization settings and don't have permission, ask an Owner or Admin to help you.

Transferring ownership

If you're the Owner and want to transfer ownership to someone else:

  1. First, make them an Admin (if they're not already)
  2. Go to Organization SettingsMembers
  3. Find the person you want to make Owner
  4. Click the role dropdown next to their name
  5. Select Owner
  6. Confirm the transfer

Important things to know:

  • Only Owners can transfer ownership
  • You can have multiple Owners in an organization
  • You don't lose access when you make someone else an Owner
  • You can make yourself a regular Admin after transferring ownership
