Overview

Custom reports allow you to:

  • Build reports with specific metrics and filters
  • Schedule automated report generation and delivery
  • Export data in multiple formats (PDF, Excel, CSV)
  • Share reports with team members and external stakeholders
  • Track custom KPIs unique to your workflow

Unlike the standard analytics dashboard, custom reports let you combine any metrics, apply complex filters, and create presentation-ready documents.

Prerequisites

Required role:

  • Members: Create personal reports
  • Admins: Create and share organization-wide reports
  • Enterprise: Advanced reporting features and customization

Plan availability:

  • Free: 5 custom reports, basic export
  • Pro: 50 custom reports, scheduled delivery
  • Enterprise: Unlimited reports, advanced features

Creating Your First Report

Step 1: Start a New Report

Begin building a custom report:

  1. Navigate to AnalyticsCustom Reports
  2. Click "+ New Report"
  3. Choose template or start blank:
  • Use Template: Pre-built report structures
  • Start Blank: Full customization

Step 2: Configure Report Settings

Set up basic report information:

Report Details:

  • Name: Descriptive title (e.g., "Weekly Engineering Summary")
  • Description: Purpose and audience
  • Category: Organize reports (Team, Project, Executive, Custom)
  • Tags: Make reports searchable

Time Period:

  • Last 7 days
  • Last 30 days
  • Last quarter
  • Custom date range
  • Dynamic (always shows last X days)

Audience:

  • Personal (only you)
  • Team (specific members)
  • Organization (all members)
  • External (via secure link)

Step 3: Select Data Sources

Choose what data to include:

Available data sources:

  • Tasks: Completion, status, assignments
  • Projects: Progress, milestones, budgets
  • Team: Productivity, workload, collaboration
  • Time Tracking: Estimates vs. actuals
  • Custom Fields: Any custom field values
  • AI Agents: Automation metrics
  • Integrations: Data from connected tools

Filter data by:

  • Date range
  • Projects (select specific projects)
  • Team members
  • Task status (To Do, In Progress, Done)
  • Priority levels
  • Labels and tags
  • Custom field values

Start with a narrow focus and expand later. Reports with too much data can be overwhelming.

Step 4: Choose Metrics and Visualizations

Select what to display and how:

  • Percentage: Completion rates, distribution
  • Average: Mean completion time, velocity
  • Sum: Total hours, story points, costs
  • Trend: Changes over time

Step 5: Customize Layout

How to create:

  1. Click "+ Add Calculated Field"

PDF:

Excel (XLSX):

  • Best for: Further analysis, data manipulation
  • Features: Raw data, formulas preserved

CSV:

  • Features: Simple, universal format
  • Options: Delimiter choice (comma, tab, semicolon)

PNG/JPEG:

  • Best for: Embedding in documents, presentations
  • Features: Visual snapshot
  • Options: Resolution, size

PowerPoint (PPTX): (Enterprise only)

  • Best for: Presentations
  • Features: One chart per slide, editable
  • Options: Template selection

Export Process

Generate and download reports:

  1. Open report you want to export
  2. Click "Export" button
  3. Choose format (PDF, Excel, CSV, etc.)
  4. Configure options:
  • Include/exclude sections
  • Page layout
  • Data range
  • Branding elements
  1. Click "Generate"
  2. Download when ready (usually less than 30 seconds)

Large reports may take a few minutes to generate. You'll receive an email notification when ready.

Batch Export

Export multiple reports at once:

  1. Select reports from reports list
  2. Click "Batch Export"
  3. Choose format (all exports use same format)
  4. Configure settings
  5. Generate all

Downloads as a ZIP file containing all reports.

Scheduled Reports

Automating Report Delivery

Set up automatic report generation and delivery:

Schedule configuration:

  1. Open report
  2. Click "Schedule" button
  3. Set frequency:
  • Daily (weekdays or every day)
  • Weekly (choose day of week)
  • Monthly (choose date or first/last day)
  • Quarterly
  • Custom (specific dates)
  1. Choose time: When to generate and send
  2. Select recipients:
  • Team members (by role or individual)
  • External email addresses
  • Slack channels (Pro/Enterprise)
  1. Choose format: PDF, Excel, or link to live report
  2. Add message: Optional email note
  3. Activate schedule

Managing Schedules

  2. Email invite: Send via Verk email system
  3. Embedded: Add to project or task
  4. Dashboard widget: Display in analytics dashboard

Permission levels:

  • View only: See report, can't edit
  • View and export: Can download data
  • Edit: Can modify report configuration
  • Admin: Full control including sharing settings

External Sharing

Share with stakeholders outside your organization:

Public link generation:

  1. Open report settings
  2. Click "Generate Public Link"
  3. Configure security:
  • Password protection: Yes/No
  • Expiration date: Set or indefinite
  • Allow exports: Yes/No

Security considerations:

  • Links work without Verk login
  • Update frequency (real-time, hourly, daily)
  • Data visibility (respect internal permissions)
  • Revoke access anytime

External links show data based on report owner's permissions. Be careful not to expose sensitive data.

Report Subscriptions

Let others subscribe to reports:

How it works:

  1. Make report "subscribable"
  2. Share subscription link
  3. Recipients choose delivery frequency
  4. They receive automatic updates

Subscriber management:

  • View who is subscribed
  • Approve/deny subscription requests
  • Remove subscribers
  • Change delivery settings

Troubleshooting

Report Doesn't Include Expected Data

Check:

  • Date range covers the expected period
  • Filters aren't excluding data
  • Projects/tasks haven't been archived
  • You have permission to view the data

Fix:

  1. Clear all filters and re-apply
  2. Expand date range to "All time" temporarily
  3. Verify project access in settings

Scheduled Report Not Delivering

Common issues:

  • Email addresses incorrect or bouncing
  • Report generation failing (check error logs)
  • Schedule paused or disabled
  • Recipient spam filters blocking emails

Solutions:

  1. Check schedule status (Active/Paused)
  2. Review delivery history for errors
  3. Test with manual send
  4. Verify email addresses
  5. Ask recipients to whitelist noreply@verk.com

Export Takes Too Long

Optimization:

  • Reduce date range
  • Remove unnecessary sections
  • Simplify complex visualizations
  • Filter to essential data only
  • Export during off-peak hours

If persistent: Large datasets may need special handling. Contact support for enterprise export options.

Report Performance Is Slow

Speed improvements:

  4. Pre-filter data before adding to report
  5. Cache frequently used calculations

Best Practices

Start with a Template Modify existing templates rather than building from scratch. Faster setup and proven layouts.

Focus on Actionable Insights Every metric should answer a question or inform a decision. Avoid "nice to know" metrics that don't drive action.

Keep Reports Focused One report per audience or purpose. Don't try to serve everyone with a single report.

Use Consistent Formatting Standardize colors, fonts, and layouts across reports for professional appearance.

Add Context with Text Include brief explanations of what metrics mean and why they matter. Don't assume everyone understands the data.

Schedule Instead of Manual Automate recurring reports. Saves time and ensures consistency.
